In an increasingly competitive real estate market, customer experience is a decisive factor in strengthening a property developer’s reputation and value. Professional pre-sales and after-sales management not only improves buyer satisfaction, but also streamlines processes, reduces operating costs for the developer, enables its team to focus on the company’s strategic activities, and separates the management of customer incidents from its internal operations.
Effective pre-sales and after-sales management:
- Reduces complaints and legal disputes.
- Reduces incident resolution times.
- Enhances the property developer’s reputation.
- Facilitates compliance with the warranties established under the Spanish Building Act (LOE).
- Builds trust and encourages recommendations from buyers.
PHASE I – PRE-SALES ACTIONS:
- Preparation of a detailed snagging report for each individual property, parking space, common area and any other constructed or developed element. This includes monitoring any property customisations, where applicable, and verifying the correct location of all elements in accordance with the as-built drawings and the specifications provided by the PROPERTY DEVELOPER.
- Identify any critical snagging issues that must be resolved prior to completion and the signing of the title deed. Immediately notify both the PROPERTY DEVELOPER’s after-sales manager and the construction company so that the issues can be addressed as a matter of urgency, and monitor them through to full rectification.
- Delivery to the PROPERTY DEVELOPER of the snagging report, supported by photographs and locations marked on the plans, together with proposed corrective actions to address the identified issues.
- Submission to the construction company, subject to the PROPERTY DEVELOPER’s authorisation, of the snagging items listed in the report for each property and the common areas, so that the necessary corrective work can be carried out.
- Management of the resolution process with the construction company, ongoing monitoring and regular reporting to the PROPERTY DEVELOPER on the status of the snagging report for the properties and common areas until all identified issues have been fully resolved.
- Verification of all information and/or documentation relating to each property, including finishes, specifications, customisations and individualised as-built drawings.
- Monitor the construction company’s progress in carrying out the required works and, in the event of non-compliance, report it to the development manager and the PROPERTY DEVELOPER’s after-sales manager, who are responsible for driving the works forward.
- Scheduling and conducting any necessary visits to each property and the common areas with prospective buyers.
PHASE II – VISITS:
- For client visits, the PROPERTY DEVELOPER’s representative and the client will agree on a date and time. This must be communicated to the GESIBERICA manager at least 48 hours in advance so that they can accompany both parties throughout the visit and explain, on the basis of the PROPERTY DEVELOPER’s warranty and after-sales service document, the after-sales procedure to be followed once the property purchase has been completed and the title deed signed.
- Based on the PROPERTY DEVELOPER’s recommendations, GESIBERICA will advise and inform clients on the use of their property and its components, the arrangement of utility services, maintenance requirements and any other necessary documentation.
- If any issue requiring rectification is identified in the property during the visit, GESIBERICA will record it in a list and notify the PROPERTY DEVELOPER and the construction company so that the necessary corrective work can be carried out, monitoring the issue through to resolution.
- The courtesy visit will take place during business hours and will last for the period agreed with the PROPERTY DEVELOPER, covering the property, parking area and common areas.
Common areas inspection:
- Community documentation and keys.
- Common area finishes.
- Community facilities in perfect working order.
- The purpose of this visit is to document the condition of the finishes in the common areas, thereby avoiding responsibility for any damage or issues arising from clients’ future moves or improper use of these areas.
- If any issue requiring rectification is identified, GESIBERICA will record it in a list and notify the PROPERTY DEVELOPER and the construction company so that the necessary corrective work can be carried out, monitoring the process through to completion.
PHASE III – AFTER-SALES ACTIONS:
- Dynamic management and monitoring of Incident Reports:
- Continuous monitoring and coordination with the construction company regarding the corrective works to be carried out, including the collection of work reports provided by the construction company.
- Inspection and approval of completed corrective works through daily monitoring visits, including obtaining clients’ signatures confirming their acceptance.
- Preparation of a weekly progress report for the PROPERTY DEVELOPER’s after-sales manager.
- The report will provide details on the progress of the works, planned schedules, actions undertaken, compliant and non-compliant items, as well as any issues or difficulties identified.
- Final visit with the client and delivery of all documentation relating to their after-sales process, thereby completing and formally closing the service.
- Obtaining the client’s signature confirming full acceptance and final handover of the property.
- Final visit with the property manager and/or representatives of the Owners’ Association, together with the contractors responsible for maintaining the communal facilities on behalf of the Owners’ Association, to formally hand over the communal installations in perfect working order. Delivery of the relevant documentation and formal closure of the service.
PHASE IV – FOLLOW-UP ACTIONS:
- In this final phase, once the property has been handed over, any outstanding issues will continue to be monitored through to resolution, with their completion dates duly recorded. Continuous communication will be maintained between the construction company, the PROPERTY DEVELOPER and the client. Once the issues have been rectified, the client’s signature confirming acceptance will be obtained, thereby completing the property handover after all aspects required to ensure a satisfactory client experience have been reviewed and reinforcing the PROPERTY DEVELOPER’s reputation.
